This position supports our Finance and HR Admin processes in our Lodž site, in a timely manner and with the highest degree of accuracy, reporting to the Finance Manager.

Providing a comprehensive Finance and HR support service to all employees in the site, specifically focusing on all matters related to payroll admin, time & attendance and other FIN/HR administrative tasks. Ensuring all transactional elements of FIN/HR are managed in a timely, accurate and consistent manner.

This is a generalist role, reinforcing HR within the role of line managers as well as providing commercially/market relevant coaching and advice to the site management team.

The role may also work on key HR, business and Group projects.


Key Responsibilities


  • Finance support of processing payroll documentation, support forecasting 
  • Preparation of reports for Statistical office on employment based on payroll data
  • Preparation of re-invoices for other related countries regarding employee costs
  • Administration - whole employee cycle management (e.g. employees files, preparation of Labor law documents, records of employees, cooperation with eg. ZUS, PIT, PFRON, GUS, Health insurance companies)
  • Keeping track of all required personal documentation as per the local legislation and Essentra policies ( diplomas, entry forms, data protection notice, reports, declaration documents, exit checklists, etc.)
  • Ensuring timely storing of all obligatory employees documents
  • Tracking attendance: Maintenance of the time recording system, holiday days, update holiday records, process of daily working hours, sickness, overtime
  • Independently take on classic payroll accounting tasks for our employees (processing via a tax consultant).
  • Act as the first point of support (m/f/d) for employees and managers on, payroll tax and social security related issues
  • Monitoring and ensuring compliance with deadlines and time limits
  • Administrative tasks for temporary staff (monitoring working hours / invoice control)
  • HR Service: Work under a limited degree of supervision to assist in the delivery of all aspects of specialized HR work within defined HR service levels and with high levels of customer satisfaction
  • Other administrative tasks as required


Required Skills & Experience


  • Bachelor’s Degree
  • Economy or Human resources diploma (desirable)
  • Fluency in Polish and good English skills (B2)
  • Experience of working in an operational administrative  role providing support on Poland Finance and HR issues
  • Experience in payroll accounting and HR admin
  • Good knowledge of Polish  Labour law
  • Hands-on mentality
  • Ability to work on a number of activities simultaneously
  • Proactive approach to work
  • Excellent attention to detail
  • Ability to prepare and report on sensitive and complex information as required
  • Advanced knowledge of MS Office
  • Good communication and negotiation skills
  • Experience in business partnering with senior stakeholders
